Who is responsible

ERGON INTELLIGENCE L.P is the controller for account, billing, support and website information described here. For personal data a business supplies for processing on its behalf, the business may be the controller and we act under its instructions. Contact us to arrange any required data-processing agreement before supplying guest personal data.

Information we use and why

• Account and authentication: name, email, identity-provider identifiers, sign-in information and terms acceptance, to provide the account and protect access.
• Workspace data: property and room configuration, competitor profiles, observed quotes, room mappings and audit records, to provide the features you request.
• Connections: credentials and access grants you authorise, to connect the selected services. Credentials are stored encrypted server-side and are not displayed in AI responses.
• Billing: subscription status, invoice and transaction references. Stripe processes payment-card information; the Harbor Pricing contact form must not be used for card details.
• Contact requests: the name, email, business details and message you submit, to respond. Do not submit guest-sensitive information.
• Security and operations: request and error logs and limited anti-abuse records, to operate and secure the service.

Legal bases

We use data as necessary to take steps you request before a contract and to perform the service contract; to meet legal obligations such as accounting; and for legitimate interests in service security, support and preventing misuse, subject to your rights. If we introduce optional analytics or marketing that requires consent, it will remain disabled until you choose it. No advertising or analytics trackers are currently enabled.

Service providers and international processing

Google Cloud and Firebase support hosting, storage and authentication; Stripe supports payments; Resend supports enquiry-email delivery when configured. Google sign-in involves Google when you choose it. Map views request geographic tiles from OpenFreeMap and its underlying map-data services, which receive network request information such as your IP address. AI and property-system providers receive data only through the features and connections you use. Our application runs in Google Cloud’s europe-west1 region, but that does not mean every provider processes every item exclusively in the EU. Where processing outside the EEA occurs, applicable safeguards must apply, such as recognised adequacy decisions or standard contractual clauses.

Retention

Account and workspace records are retained while needed to provide your account, unless you delete them or request closure. Removal and reset features explain when stored workspace information is deleted. Contact enquiries are scheduled for deletion from our application database after 12 months; provider and inbox copies follow their respective retention arrangements. Security and service logs use our cloud retention settings. Billing records may need to remain for statutory accounting periods. Legal acceptance records may be retained to establish the applicable contract or resolve disputes. Contact us for an account-specific retention or deletion request.

Your choices and rights

Subject to applicable conditions, you may request access, correction, erasure, restriction, portability or object to processing based on legitimate interests. You can revoke AI connections in the workspace. You can reopen the cookie notice using Cookie settings. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. We may need to verify your identity before acting on a request. You may complain to the Hellenic Data Protection Authority at dpa.gr or your competent supervisory authority.

Security and decisions

We use access controls, encrypted transport and server-side credential encryption. No system is risk-free. Pricing and matching suggestions support your business decisions; they are not designed to make decisions with legal or similarly significant effects on individual guests without human review.
